Job Summary
  • The HR File Clerk is primarily responsible for file and forms maintenance; additional tasks that support the goals of the Human Resources department may be assigned. This position is the primary backup for the other HR Admin Assistant position and the main duties are data entry.
  • File Maintenance
    • Unlock employee files in the morning and secure them at end of business each day
    • Audit files
      • Transfer terminated employee files to terminations file cabinet
    • File employee paperwork as received as well as assist with re-filing folders and paperwork after files are pulled for review
    • Maintain employee files with pages in chronological order and with separating pages to indicate changes in employee transfer status
    • Assist in shredding files when required time limits are met
    • Copy and send personnel files to new store manager for employee transfers and re-hires
    • Remind store managers to send employee files to HR once terminated or transferred to another store
  • Maintain and send out performance evaluation schedules to Store Managers and Regionals on a quarterly basis
  • Print ENCs and Evaluations from HR email and staple together for processing
  • Write out birthday/anniversary/congratulations cards on behalf of the Isely’s and send to store managers for distribution in the stores
  • Maintain all new hire packets on the HR SharePoint page
  • Send totes to new stores that include new hire packets, handbooks, etc.
  • Maintain I-9s for the company
  • Upload paper applications into the Applicant Stack system
  • Send flowers upon request and when within policy
  • Special Projects – collect and file paperwork as needed
  • Create name badges for employees
  • Create Family Member Discount cards
  • Pick up mail from mail room and distribute within the department

  • High school diploma or equivalent
Skills and Experience
  • 1 – 2 years of clerical experience required
  • 1 – 2 years of Human Resources experience preferred
  • Ability to maintain the highly confidential nature of human resources work
  • Tact, above average communication skills, ability to work effectively with both employees and managers
  • Ability to convey a positive and professional image
  • Must be conscientious and detail oriented
  • Ability to prioritize work and meet deadlines
  • Attention to detail and ability to work independently as well as part of a team
  • Strong verbal, written, analytical, organizational, and interpersonal skills
  • Proficient with MS Office applications
